Administrative Assistant

Silverman Thompson is looking for an administrative assistant to join our downtown Baltimore office.

The administrative assistant serves as the first point of contact for the law firm and provides high-level administrative support to attorneys and firm leadership. Reporting to the firm administrator, this role requires professionalism, discretion, strong organizational skills, and the ability to manage multiple priorities in a fast-paced legal environment.

Key Responsibilities

Reception & Client Interaction

  • Greet clients, visitors, and vendors in a professional and courteous manner
  • Answer and route incoming calls, take accurate messages, and manage voicemail
  • Schedule and confirm client appointments and meetings including food order management
  • Maintain a welcoming and confidential front-office environment
  • Take payments over the phone and in-person by credit card/cash and store in safe

Administrative & Executive Support

  • Provide administrative support to attorneys and executives, including calendar management and meeting coordination
  • Assist with court filings, deadlines, and document management (electronic and physical)
  • Perform quality control checks in case management system to ensure consistency of entries
  • Load incoming filings into document management system and track response deadlines
  • Manage incoming and outgoing mail, packages, and deliveries

Office & Operations Support

  • Maintain office supplies and coordinate with vendors as needed
  • Organize and maintain client files in accordance with firm policies
  • Assist with billing support, expense reports, and time entry as requested
  • Support special projects and firm initiatives

Confidentiality & Compliance

  • Handle sensitive and confidential information with discretion
  • Ensure compliance with firm procedures and legal ethics requirements

Qualifications & Skills

  • High school diploma or equivalent (associate or bachelor’s degree preferred)
  • Previous experience as a receptionist, administrative assistant, or executive assistant (law firm or professional services environment preferred)
  • Strong verbal and written communication skills with a professional demeanor and strong client-service mindset
  • Excellent organizational skills, attention to detail, and ability to multitask while maintaining accuracy and work under deadlines
  • Proficiency with Microsoft Office (Word, Outlook, Excel) and office equipment
  • Reliable, punctual, proactive and team-oriented with a positive attitude

Salary:  $45,000 – 55,000 with 100% paid health benefits

Summer Associate Program

Each year, we hire up to six law students from across the country to join our firm for the summer to assist attorneys in various departments with substantive legal work. These law students partake in research writing and hands-on experience, gaining invaluable mentorship. Alongside an immersive experience at a top litigation firm, summer associates spend a day in court, have lunch with a local judge, and participate in a variety of Firm-wide social and networking events.

Part-Time Clerkships for Law Students

We hire a handful of local law students, including past summer associates, to work as law clerks throughout the year to gain hands-on firm experience while completing their law degrees.  

Typically, our law clerks perform legal research and analysis of complex issues; draft discovery requests and responses, motions, and legal memoranda; perform factual investigations and summaries; and help prepare materials for hearings or trials. In addition, law clerks are invited to observe and participate in client meetings, depositions, hearings, and trials. Silverman Thompson also provides networking opportunities and encourages attendance of social events within and outside the firm to foster professional development.

University of Baltimore School of Law Fellowship

Here at Silverman Thompson, we are committed to cultivating local talent from our Baltimore community. Our University of Baltimore School of Law Fellowship is designed to reward and retain top legal talent at the University of Baltimore, the alma mater of close to half of our Firm.  

Our Fellows apply during their first year at UB Law and are awarded a two-year scholarship, a one-year fellowship stipend, and a position in the Firm’s Summer Associate Program. We continue to mentor our Fellowship winners and provide guidance for a career in law in Baltimore, and three Fellows are currently with Silverman Thompson as clerks of attorneys since the program’s inception in 2018.
